Unlimited Wedding Guests: Photo Album Access Explained

Unlimited wedding guests describes contributor access, not an unlimited promise about files, storage or internet capacity. PhotosPlease's current model does not charge or allocate a separate account to each guest. Share the event link widely within your intended audience, then choose suitable upload allowances and explain who can view the resulting album.

An invitation count is not a file allowance

Guests contribute through a browser link without registering their own app account. The planned plan structure has no separate maximum guest count. Your seating plan therefore does not have to become a list of photo-app user licenses.

However, every submission still belongs to an event with a selected plan. A large number of invited contributors can exhaust a small file allowance quickly. Check the upload count, per-file limits and dates even when guest access itself is not capped.

Invite the right audience rather than the whole internet

An open invitation to your wedding guests should not become an invitation to unrelated people. Keep the QR code on event materials and send the link through the channels you already use with invitees. A code photographed and posted publicly can reach an audience you did not intend.

Explain whether attendees can browse other contributions or only send files to the hosts. For sensitive celebrations, start with restricted guest visibility and decide later which pictures can be shared. Avoid treating possession of a link as proof of a person's identity.

Plan responsibilities for a larger event

These are organizational roles, not additional guest account requirements.

ResponsibilityPractical owner
Test the guest journeyA helper with a different phone from the host
Answer upload questionsOne willing contact named on the instructions
Review gallery visibilityThe event host or an authorized collaborator
Check new contributionsA designated moderator
Keep the final archiveA named person with access to the export

Do not promise venue-wide upload capacity

A gallery that accepts many contributors does not improve the venue's Wi-Fi. Test the network where the signs will stand and consider whether mobile coverage is available. Let guests upload afterward if the connection is unreliable.

Avoid creating a rush by asking the entire room to send videos at once. A quiet reminder during a break and a later follow-up can spread the work naturally. Guests should keep their originals until they know their contributions arrived.

Choose collaboration permissions separately

Guests and host collaborators are different roles. A guest who can upload should not automatically be able to change event settings or download the full collection. Give management access only to people who need it, using the supported collaborator controls.

The planned plans have separate collaborator allowances. Confirm that the people expected to help can perform their jobs before the event, and review their access once the archive has been handed over.

Questions and answers

Does each guest need an account?

No. Guests use the event's browser link to contribute without creating a guest account.

Is there a separate guest-count cap?

The planned plan structure does not define one. Upload allowances and technical restrictions still apply.

Does a free event support unlimited files from those guests?

No. The planned free plan has a limited upload allowance even though contributors do not need individual licenses.

Can we share one code across all tables?

Yes, when all tables should contribute to the same event. Confirm every printed copy points to the correct guest link.

Can guests manage the album?

Not simply because they have the guest link. Host and collaborator permissions are separate from guest contribution access.

Does this guarantee every guest will upload?

No. Participation is optional and depends on interest, clear instructions, device access and connectivity.
