Live Wedding Slideshow: Setup, Moderation and Backup

A live wedding slideshow displays selected event photos on a screen during the reception. Plan the display, internet connection and review process together, then test the exact setup at the venue. Keep an approved fallback selection ready and assign someone to manage the screen so the couple can enjoy the celebration.

Define what live means for your setup

A screen can show a fixed slideshow, periodically updated guest uploads or a stream of newly approved images. Choose which experience you want and verify how your software behaves. Do not advertise instant display when pictures are reviewed manually or updates happen on a delay.

The screen needs an appropriate device and connection as well as an album. Ask the venue what it supplies and what you must bring: television or projector, input connections, cables, power and a place for the operator. Confirm these details before the wedding day.

Display preparation checklist

Test the complete chain with the actual equipment when possible, rather than testing each piece separately at home.

Keep the operator's desktop private

Use the slideshow view rather than mirroring a host dashboard that contains management controls or personal information. Turn off notifications on the display device and close unrelated windows. Check what appears when the browser reloads, loses connection or leaves full-screen mode.

Secure cables and place equipment according to the venue's instructions. Do not improvise a stand in an aisle or run a power lead across a route guests need. The display is optional entertainment and should fit the room's practical arrangements.

Choose a review workflow

If guests can submit images, decide who approves the pictures that reach the screen. Review for privacy as well as image quality. A picture can be sharp and still be inappropriate to display because it includes a private conversation, a child without permission or a personal document.

Tell contributors whether the images may appear during the reception. An upload for the couple is a different expectation from an image projected to the entire room. If you cannot provide an effective review process, use a preselected collection instead.

Check reveal and gallery settings together

A delayed camera reveal can conflict with a live slideshow. In PhotosPlease, a future reveal time hides guest photos from the guest-facing gallery and slideshow until that time. Test the event configuration before promising both a surprise reveal and an immediate screen.

If the goal is to display older couple photos before guest images arrive, prepare a permitted, reviewed set and confirm how your display tool handles it. Keep the different collections and their audiences clear.

Plan a graceful fallback

Save a small approved slideshow locally in advance if your chosen equipment supports that workflow. Test playback without the network. The fallback should contain only images you have already agreed to display and should be accessible to the named operator.

If the live system fails, switch to the fallback or turn the screen off without repeated announcements. Guests came for the wedding, and a simple recovery is preferable to stopping the reception for technical repairs.

From PhotosPlease

Collect the pictures that complete the story

PhotosPlease provides a plan-dependent browser slideshow for an event. Guest visibility, moderation and delayed reveal affect what can appear. Test the dedicated slideshow link with the event's real settings, and arrange the physical screen, display device and venue connection separately.

Questions and answers

What equipment do we need?

A suitable screen or projector, a connected device, power and any required cables or adapters. Confirm what the venue supplies and test the entire chain.

Will every guest upload appear immediately?

That depends on moderation, visibility, reveal and update behavior. Describe the workflow you actually configured rather than promising instant display.

Can we run it without internet?

A live online gallery needs a connection. A separately prepared local slideshow can be a fallback if your equipment supports it.

Who should manage the screen?

Choose a willing helper or vendor who can review content, pause the display and switch to the fallback. Give them the necessary access in advance.

Can we combine a delayed reveal with a live screen?

Only if the software's settings support the combination you intend. In PhotosPlease, a future reveal hides the guest-facing slideshow until reveal.

Should we use music in the slideshow?

Coordinate with the DJ and venue so audio does not compete with speeches or other music. Check the permissions for any track you choose to use.
